Administrator-Job Description

Role 


We are looking for a gifted, experienced and skilled administrator to come and join Sompting Community Church on a part-time basis to support our ministry. The purpose of the role is to supervise and facilitate the day-to-day administrative operations of the church in close co-operation with the Minister, staff team, leaders of the church and the church members. As a faith-based organisation and place of Christian worship, our beliefs are foundational to everything we do. The post-holder will be expected to share these beliefs, join in the spiritual life of the church and work actively to support our ministry and vision. 


Along with our Minister and staff team, this post is key in enabling growth in the ministry and mission at Sompting Community Church. In line with our vision, ‘Knowing Jesus and Making Him Known’ and as well as providing effective administration within the church, the post-holder will be expected to be a key face and voice of the church to the wider community, from answering the phone and office door to being involved with our Social Media accounts for our online Community. This position requires an exceptional degree of professionalism and the ability to work in an ever-changing environment, where multi-tasking, sound decision making, self-motivation and discretion are essential. Equally the post-holder will need confidence and proven organisational, IT, communication and interpersonal skills. Developing an overview of church life is essential, as is the ability to demonstrate a degree of management skills, as the church administrator will be required to equip, empower and encourage a team of volunteers.

Job Purpose:  To provide general administrative support to the ministry, leadership and staff teams.

Responsible to:  Senior Minister and leadership team


Hours:
  10 Hours per week 


Rates of Pay:
£12.21 per hour

Qualifications/Experience: 

  1. Must be a member of SCC
  2. The administrator needs a positive and prayerful attitude to the life and future mission of the church
  3. Preferably have previous experience of working within and managing an office and staff
  4. Strong computer skills are imperative, including but not limited to MS Windows, Word, Excel, Access, PowerPoint, Outlook 
  5. Experience of handling confidential documentation and communications
  6. Skills in or the ability to learn website updates, email communication, social media and internet communication is a must 
  7. Proficiency in the use of standard office equipment (copy machine, etc) 
  8. Strong organisational skills 
  9. This role requires the prospective post holder to have an Enhanced DBS check.
  10. Ability to work independently unsupervised.



Key Responsibilities

1) Support Sompting Community Church’s vision and mission

2) Office Management and General Administrative Services

  1. Provide general administrative support to the Minister and staff team
  2. Administer the church diary and the Ministers Diary, arranging appointments and setting up meetings when requested
  3. Deal with statutory documents, including, registers, certificates and applications, supporting the team with DBS Checks and registration; and ensuring that church records are kept up to date (e.g., Leaders terms of service, Church Membership, Volunteer Agreements, record of Baptisms)
  4. Order supplies for church ministry including stationery, office, communion supplies, etc
  5. Oversee the maintenance of equipment in the Church Office and comply with any maintenance and service contracts held by Sompting Community Church, (e.g. Photo Copier, Coffee Machines)
  6. Assist with the purchase of office equipment
  7. Maintain petty cash record
  8. Ensure a safe and clean working environment within the office
  9. Review and implement procedures to ensure clear, efficient and effective office operation.
  10. Provide administrative support to SCC’s Community Groups, (e.g., Tiny Tots, Connect, Messy Church) 
  11. Encourage, develop and manage volunteers to assist with the running of SCC groups.

3) Church Communications

  1. Manage all community correspondence, including post, e-mail, and answerphone.
  2. To manage all communications with relevant organisations and local churches. Keeping staff informed of any training courses, support groups and conferences that may be of interest.
  3. Ensure internal and external notice boards are kept tidy and up to date
  4. Assist with the production and co-ordinate mailings of special publications (e.g., carol service flyers, special events, Easter services and Messy Church), post out copies of weekly email.
  5. Produce, maintain and circulate SCC’s address book.
  6. Assist the Church secretary in co-ordinating production of the Church Annual Report in preparation for the Annual AGM Members Meeting.
  7. Assist Church secretary and Minister in co-ordinating mailings of Members Meeting letters and documentation (e.g., Minutes, financial reports, voting slips). To provide administrative support in relation to church meetings. Including preparation of agendas, recording of church meeting minutes and paperwork relating to leadership elections. To provide administrative support for leadership meetings including the preparation of agendas and other associated paperwork as required by the church secretary and ministry team. 
  8. Assist with keeping SCC’s website, social media and WhatsApp up to date.
  9. Act as first point of contact for all enquiries whether in person, or by phone, post, email etc; ensuring they are dealt with politely and professionally and followed up by appropriate action.


4) Administrative Support for Worship

  1. Maintain and co-ordinate rotas for worship including, readers, setting up, duty leader, offering and communion, welcomers etc
  2. Assist in the management of copyright licence, CCLI licence, Streaming licence applications and requirements


 5) Management of premises and lettings

  1. Manage booking of all premises used by SCC (e.g., HJC, SVP, ST Peters) ensuring an on-going constructive dialogue
  2. Update, issue and enforce lettings contracts, Risk assessments, Fire safety 
  3. Manage and resolve any conflicts relating to the use of premises
  4. Maintain accurate records of key holders 
  5. Oversee insurance and act as main point of contact with insurers (Manse, Public liability)
